2. Data collected and purposes

2.1 Browsing only

Purely informational pages (Home, The Villa, Rates, Discover, About, Legal notice, Terms, Privacy policy) set no third-party cookies. Only a cookieless analytics beacon from Cloudflare Web Analytics records aggregated traffic statistics (pages viewed, approximate country deduced from IP, browser). This beacon uses neither cookies nor persistent identifiers. Legal basis: legitimate interest (article 6.1.f GDPR) in measuring site audience.

2.2 Booking

The page /en/booking/ embeds a booking calendar provided by Codebay Solutions Limited (Lodgify) (booking management system) which sets a single technical cookie (prefix _ldgfy_) strictly necessary for the calendar to function. This functional cookie — required for a service you explicitly request, the booking tool — is exempt from prior consent under the CNIL guidelines; the calendar contacts only Lodgify’s servers and is associated with no advertising or analytics tracker. Booking details and payment are then entered on a secure page hosted by Lodgify, under its own cookie management.

Data collected at booking (first name, last name, email, phone, dates, number of guests, message) is transmitted to Lodgify for processing. Legal basis: performance of a contract or pre-contractual measures at your request (article 6.1.b GDPR).

The page /en/contact/ sets no cookies: only phone and email contact details are displayed. Emails received at [email protected] are processed on the basis of legitimate interest in replying to your message (article 6.1.f).

3. Data processors

To operate the site and bookings, EURL Kaïbana uses the following data processors:

• Cloudflare, Inc. (static site hosting and CDN) — connection data (IP address, user-agent), retained for a maximum of 30 days. Headquartered in the United States; transfers governed by the European Commission’s Standard Contractual Clauses.
• Codebay Solutions Limited (Lodgify) (booking management software) — booking and enquiry data. Registered office: Magma House, Rugby, England (United Kingdom); company no. 5903966. Subsidiary: Codebay Solutions S.L.U., Barcelona (Spain). Transfers covered by the UK adequacy decision adopted by the European Commission.
• Stripe Payments Europe Ltd. (payment processing via Lodgify Payments) — bank details entered on Stripe-hosted pages (never on villakaibana.fr). No payment data passes through villakaibana.fr. Headquartered in Ireland (European Union).

No data is transferred or sold to third parties for advertising purposes. No data broker, no advertising network, no retargeting cookies are used.

4. Retention periods

• Confirmed bookings: 10 years after the end of the stay (French accounting and tax obligation).
• Enquiries without booking: 3 years from the last exchange.
• Cloudflare logs: 30 days maximum.
• Cloudflare Web Analytics statistics: 6 months (aggregated, anonymous).

5. Your rights

Under the GDPR, you have the following rights:

• Right of access: obtain a copy of the data concerning you.
• Right of rectification: correct inaccurate information.
• Right to erasure (“right to be forgotten”): delete your data, subject to legal retention obligations.
• Right to restriction of processing.
• Right to object to processing based on legitimate interest.
• Right to portability of your data.
• Right to withdraw consent at any time, without affecting the lawfulness of prior processing.

To exercise these rights, write to [email protected]. Proof of identity may be requested. Reply within one month.

If you believe your rights are not respected, you may lodge a complaint with the CNIL (the French data protection authority) or with the supervisory authority of your country of residence.

6. Cookies used

The booking calendar only loads on the /en/booking/ page and sets just one technical cookie there. If you would rather not have this cookie, you can book directly by phone or email without using the online calendar. You can clear the site’s cookies at any time in your browser settings (privacy → clear site data for villakaibana.fr).

7. Security

The site is served entirely over HTTPS (HSTS enabled). No password or payment data is stored on villakaibana.fr. Transfers to Lodgify and Stripe are encrypted (TLS).

8. Changes to this policy

This policy may be updated to reflect regulatory or technical changes. The date of the last update appears at the top of this page. Substantive changes will be flagged on the home page.
